Technical Guide: Smart Lock Synchronization (1RIS to Luckey)

This internal guide provides technical staff with detailed instructions on managing the synchronization of Smart Locks between the 1RIS platform and the Luckey platform. Ensuring data consistency between these two environments is critical for maintaining accurate access control and system integrity.


Overview of the Synchronization Process

Luckey acts as a cloud-native access management solution that virtualizes components of the access system. For certain hardware configurations, such as those running on the 1RIS firmware, smart locks and their configurations must be synchronized from the 1RIS platform to the Luckey cloud. This operation ensures that hardware-level gates and identifiers in 1RIS are perfectly aligned with the digital entities managed by building administrators in the Luckey Web Application.

How to Initiate Platform-Wide Synchronization

The primary synchronization tool is managed within the administrative interface dedicated to system setup.

  1. Access the Luckey Web Application using an administrator account.
  2. Navigate to the Installers section located in the sidebar.
  3. Locate and click the “Synchronize Smart Locks” button.
  4. This action triggers a comparison between the current 1RIS configuration and the Luckey database to ensure every gate is accounted for and correctly identified.

Expanded Handling of Data Mismatches

The synchronization process is designed to safeguard the system against data inconsistency by detecting discrepancies in Serial Numbers or Gate IDs. There are two primary technical scenarios where these mismatches occur:

1. Renaming a Smart Lock in 1RIS

  • The Scenario: A technical change is made to the lock’s name directly within the 1RIS platform.
  • System Behavior: During the next synchronization, Luckey detects that the 1RIS name no longer matches the Luckey Serial Number for a specific gate
  • Resolution Process: The system will flag a synchronization error to the user. To resolve this, the technician must select the “Force Synchronization” option. This overrides the old cloud record and updates the Luckey database with the new name provided by the 1RIS platform.

2. Hardware Recreation (Deletion and Re-addition)

  • The Scenario: A Smart Lock is deleted within the 1RIS platform and subsequently recreated using the same display name, but it is either assigned a new internal Gate ID or re-uses an old one.
  • System Behavior: The synchronization logic identifies that while the name remains the same, the unique hardware identifier has changed. This is treated as a mismatch to prevent unauthorized hardware from assuming the permissions of a previous device.
  • Resolution Process: Luckey will present an error indicating a mismatch of identifiers. By choosing to “Force Synchronization,” the technician authorizes Luckey to update the existing entity or re-create it with the new hardware parameters, ensuring all access rules remain correctly associated with the physical gate.

Monitoring and Individual Lock Synchronization

Luckey provides granular visibility and control over the synchronization state of every device in the system through the Smart Locks facility management section.

  • Failure Visibility: If a platform-wide synchronization fails for a specific lock due to a name or ID mismatch, a failure status will be clearly displayed next to that lock in the main list view.
  • Granular Force Sync: Technicians are not required to run a full platform sync to resolve individual errors. By selecting a specific Smart Lock to view its Lock Details, you can access its individual synchronization status.
  • Individual Update: From the Smart Lock detail view, the user can manually trigger a synchronization for that specific device, allowing for a targeted “Force Sync” to resolve mismatches without affecting other locks in the facility.
